Retail Service Administrator
Reports to: Retail Services Operations Manager (RSOM)
Functional summary: The Retail Service Administrator (s) (RSA) functions as the basic administrative support team for all aspects of the Retail Service organization. While under the direction of the RSOM, the RSA also directly supports the Director and National Retail Service Manager as well as the Regional Managers. While primarily administrative, the growing component of this job is ROSS data analysis and pro-active research and support to reduce departmental costs.
Job Functions:
ROSS - Develop proficiency in all aspects of ROSS FOM applications
- Input and alter VC changes
- Research and support field in ROSS questions
- Enter territory assignment changes
- Enter territory realignments
- Enter unique VC adjustments at the direction of the Regional Manager
National Field Manager Support
- Create Monthly DM work with schedule
- Act as point person for survey coordination
- Provide expense report analysis or tracking as requested
- Develop relationship such that National Field Manager feels supported by this position
RSOM support
- Assist in billing process per the direction of RSOM
- Other priorities as assigned
Direct cost reduction functions
- Regular review of the additional time and additional call reports
- Determine areas of cost concern and provide data for follow-up
- Work with Retail Support Manager to create outbound audits
- Field rep overtime report
Interdepartmental response
- Respond to request from other department to verify/ correct field Information ie issues with credits, incorrect reporting etc.
District Manager support
- Coordinate provisions needed for DMs attending customer meetings
- Includes providing/procuring and making recommendations fo giveaways, working within preset spending guidelines
- Prepare and provide account specific information ie CVS handouts
- Manage training manuals – revise and reissue as required and approved by RSOM and National Field Manager
New hire process
- Work directly with the recruiters to process new employees:
- Create and mail new hire packets
- Track missing new hire paperwork and alert RM of significant DM issues
- Entry of new hire forms
Back up for Retail Service Project Adminstrator
- Proficient in ROSS entry of new accounts and new account store lists
- Proficient in memo download procedures to complete in absence of
- Project Administrator
Newsletter – Creation of quarterly Retail Service Newsletter
Administrative
- Entry of change and delete forms
- Provide DM Name Badge replacements
- Process requests for DM business cards
- Entry of rep increases – assuring no more than 1 per year
- Replacement rep name badges
Job Requirements
- Minimum 3 years in administrative or similarly pertinent role with demonstrated competence
- Strong Microsoft office skills including excels with V look ups table creation etc. and power point. Aptitude to quickly learn additional programs such as Illustrator and other desk top publishing programs
- Interest and aptitude in analysis of data. Requires strong analytical and math skills.
- Strong written and oral communication skills
- Customer service orientation towards internal and external clients
- Ability and desire for upward movement in the organization
- 2 years college minimum 4 year degree a strong plus
